What is a Nationally Coordinated Criminal History Check (police check)?
In Australia, a police check, also known as a police clearance or criminal record check, is a document issued by a police authority that details an individual's criminal history. This report includes information on any convictions, court appearances, or pending charges.
Police checks are required fir certain types of employment, especially those involving vulnerable populations like children or the elderly.
Police Checking with CheckWorkRights and NCC
CheckWorkRights delivers automated police checks in partnership with National Crime Check (NCC). NCC is an Australian Criminal Intelligence Commission (ACIC) Accredited agency that performs hundreds of thousands of confidential Police Checks each year for Australians. With CheckWorkRights, users can have full visibility over police checks from start to finish, including status updates on employee progress, NCC progress and document verification progress to ensure a high level of visibility and reduced time to hire.

Police Check Overview
Once you have created an employee record in CheckWorkRights, you'll be shown their profile where you can request multiple checks. Click 'Enable Employee Completion' to enable the check.
Once the police check is enabled, you can send the employee an email to their MyCheck Dashboard where they can begin the police check process.
Once the employee submits all documents and NCC returns a check result, a designated verifier is notified by email. They are to review the returned check against the name, role, and location of the employee and accept or reject the document based on the result that has been provided.
Once the document has been verified, CheckWorkRights deletes the police check document for security and privacy purposes, but retains evidence of the check against the employee's record. This is available in their employee record and in reports available on the CheckWorkRights dashboard.
Step 1: Enabling the Check & Emailing the Employee
From the employee profile, select Enable Employee Completion to activate the check. You'll need to enter a reason for police check (what job and role the employee will be performing), and a police check location (where they will be working and the nature of the site).
After enabling the check you can send the employee an email immediately using the Send MyCheck Email button, otherwise the email will be issued automatically on a schedule until the employee completes the police check.
Step 2: Employee Completes the Check
The employee will receive an email with a secure link requesting to complete their police check via the MyCheck Dashboard.
The employee follows the link, gives consent for CheckWorkRights and their employer collecting and handling personal information, for the purpose of conducting employment-related checks.
They are then taken to the NCC portal to receive guidance on the identification documents they will need to provide. Once their identity is verified by NCC, their application is automatically submitted to ACIC for processing. Details on the steps involved in this process are outlined here.
As the employee progresses through the police checking process, the CheckWorkRights dashboard and employee profile will receive status updates from NCC. These will be logged in the Check History tab to give you an audit trail of your employers journey through the police check process. See status details outlined here.

Step 3: Employee consents to check result release
Once NCC has returned the check result, the employee will be prompted via email to provide consent. This consent allows CheckWorkRights to download and store a copy of the police check result on your behalf and show it to the designated verifier.
Step 4: Employer verifies the police check
Once the employee has consented to release the police check result , the designated verifier (line manager or HR manager as identified during account setup) will receive an email from CheckWorkRights to complete the police check verification process. Users can also visit the Document Verification area on the CheckWorkRights Dashboard or employee profile to locate the employee's evidence.
The verifier views the document, confirms that the document matches the employee's name, role, and location, and can Approve or Reject the submission based on the information present.
Document Handling and Deletion
After a grace period, CheckWorkRights deletes the police check documents 7 days after they have been verified for security purposes and in accordance with the Australian Privacy Principles, but retains evidence of the check having taken place at a specific date and time, and the verifier's details.
This audit trail is available in their employee record and in reports available on the CheckWorkRights dashboard.
Police Check Dashboard
Your CheckWorkRights dashboard displays the data on police checks for your employees at-a-glance.
The green 'Complete' tile displays how many check results have been returned successfully, with detail on any checks awaiting review. The yellow tile shows how many employees are progressing through the steps required, and where in the process they currently are. The red tile shows any police checks that have not returned a result, or been rejected by a verifier.
Police Check Statuses
Along the police check process, CheckWorkRights will display one of the below statuses, giving you valuable insight into the check's progress and result.

Employee gathering documents | The employee has commenced the process with NCC but has yet to provide documents. |
Awaiting documents from employee | Employee must provide further identity documents as instructed by NCC. |
ID verification (NCC) | Documents provided by the employee are being reviewed by NCC and identity is being established prior to submission to the ACIC. |
Processing (ACIC) | Police check request has been lodged with the ACIC who are now conducting the check. |
Result Delayed (ACIC) | ACIC has notified us that this check needs manual processing, often for employees with common names or when IDs can't be automatically matched with government databases. This process typically takes 7 to 10 days. |
Awaiting employee consent | Police check has been completed and is waiting for the employee to review and provide consent to release the document. |
Check complete: awaiting review | The police check is complete and is awaiting review from a manager. |
Result accepted | This employee's police check result has been approved by a verifier. |
Unable to process | This police check is unable to be completed. Please contact us for more detail. |
Result rejected | This employee's police check result has been rejected by a verifier. |
Refunded | This police check is unable to be completed. Please contact us for more detail. |
