Reporting types and processes in CheckWorkRights.

CheckWorkRights offers a suite of reporting tools to help you monitor compliance and manage your workforce effectively. Reports are available on-demand from your web dashboard and are also delivered automatically via email at customisable intervals. Below, you will find an overview of the main reports available in CheckWorkRights. Each of these can be configured for individual users.

Customising Your Reports

Our reporting system is customisable to fit your organisation's structure and needs. You have control over who receives reports, what data they contain, and when they are sent.

This ensures users only see information that is relevant, which protects employee privacy and prevents data overload. For example:

  • A national HR manager can see a report covering all employees across the country.

  • A state or site manager will only receive a report for the employees within their specific jurisdiction.

CheckWorkRights users can choose how often they receive specific email reports rather than being locked into a fixed schedule. This applies across a range of reports, including the Critical Summary, Visa Changes and Exceptions, and the No Payroll ID report.

Flexible Scheduling

Rather than being locked into a fixed schedule, you can choose exactly when to receive specific updates, such as the Critical Summary, Visa Changes and Exceptions, or the No Payroll ID report.

How to adjust your frequency:

  1. Navigate to the Reports tab and click Subscribe.

  2. The system defaults to a recommended frequency, but you can customize this by selecting Edit.

  3. Choose the specific days you wish to receive the report and click Save Changes.

Admin Controls

Admin users can manage reporting preferences on behalf of other team members.

To update a user's settings:

  1. Go to the Admin menu and select the Users tab.

  2. Select the specific user you wish to manage.

  3. Navigate to their Reporting tab to adjust their subscriptions and delivery schedules.

Report Types

Organisation Summary

The Organisation Summary is an automated email report sent on the first of each month to designated administrators and managers. It provides a high-level overview of employee compliance status across the organisation.

  • Overall Status Count: A breakdown of all employees by their current compliance status (e.g., Compliant, Action Required, Expired).

  • Upcoming Visa Expiries: A count of all employees with visas expiring in the next 30, 60, and 90 days.

  • Direct Access Link: A convenient link to log in to the CheckWorkRights platform and view a comprehensive, filterable list of all employees on a visa.

  • Critical Summary: A highlight of all employees with a red status across any compliance check (not limited to work entitlement).

The primary goal of this report is to enable proactive compliance management. It serves as a reminder for HR, site managers, or line managers to act on upcoming expiries or other high-risk compliance issues.

This allows you to:

  • Schedule conversations to discuss visa renewal plans

  • Resolve issues flagged by expired or invalid checks

  • Ensure there are no unexpected lapses in compliance

  • Maintain a legally compliant workforce with minimal administrative effort

If your account has our expanded visa holder lifecycle management tools enabled, the detailed report within the platform will also display crucial conditions and work limitations for Student and Working Holiday visa holders.

Critical Summary

The Critical Summary is an alert email outlining when there are employees with urgent compliance issues. It highlights individuals who are not compliant with Australian Government right to work and require your immediate attention.

They are sorted into the following categories:

  • NIL Work Entitlement

    • This usually occurs when an employee has a valid Australian visa, but the visa sub-class that has no work entitlements.

  • No Valid Visa

    • This usually occurs when the employee had a valid visa that has since been cancelled or expired.

  • Unable to Check

    • This occurs when the Department of Immigration has no record of an employee's passport information, usually when their passport details are either wrong, or their passport has expired and they have not notified you, or Immigration of their updated details.

Changed Visa Alert

The Changed Visa Alert is sent once a day and includes the details of all changed visas for the past 24 hours.

Employees With No Payroll ID

A report is sent to show all employees with no Payroll ID, their business unit, which user added them to CWR, the date they were added, and the days since they were added to the system.

Visa Changes and Exceptions

The Visa Changes and Exceptions summary report lists employees, their current visa status, visa subclass, visa expiry date and all conditions.

Depending on whether you have visa holder lifecycle management tools turned, your report may include additional information.

With these features turned on, the report provides a summary of exceptions for primary student visa holders (subclass 500, condition 8105) and their secondary visa holders (subclass 500, condition 8104), as well as Working Holiday visa tracking updates.

Checks Expiring with 90 Days

A consolidated report of all Employees with checks expiring in the next 90 days. Expired checks are also included.

Email Onboarding Notification

An email notification can be sent to the subscribed user whenever an employee completes any sort of check via the MyCheck self-onboarding dashboard.

Weekly RSA Register

For any business that sells or serves alcohol, maintaining up-to-date records of employee Responsible Service of Alcohol (RSA) certifications is a critical compliance task. The RSA Register provides a consolidated summary of every employee who is required to hold an RSA certification.

This report is designed to serve as your official RSA Register, which is a legal requirement in Australia. You must be able to produce this register upon request during an inspection by an RSA Auditor or a member of local law enforcement.

The weekly email summary provides a clear, at-a-glance view of your RSA compliance, including:

  • A list of all employees with the RSA check enabled.

  • The current status of their certification (Compliant, Expired, Awaiting Review).

  • The expiry date for each certificate.

  • A direct link to view the employee's submitted document for verification.
