Speed up time-to-hire using the CheckWorkRights and SmartRecruiters Integration.

The integration between CheckWorkRights and SmartRecruiters facilitates the email-based completion of Australian Right-to-Work checks when screening and onboarding new candidates.

It also allows SmartRecruiters users to request different checks based on the job role the candidate is applying for. Checks can be requested based on a hiring process configured in SmartRecruiters, or manually as necessary.

With the integration, teams using SmartRecruiters to screen candidates can expect

effortless completion of Right-to-Work employee screening and other onboarding checks with minimal data entry using a streamlined automated workflow.

Various timely, email-based reporting can be issued from CheckWorkRights about your candidate cohort, to give your team the clearest picture of your incoming employees.

Step One: Integration Setup

The first step is to work with your CheckWorkRights account manager to create your CheckWorkRights account.

  1. Once complete, sign in to SmartRecruiters and go to your avatar and select Settings > Apps & Integrations.

2. Select CheckWorkRights.

3. Review all the information and confirm your connection by selecting Allow and Continue. You will be directed to CheckWorkRights to login and Approve the connection. Once approved, you will be redirected back to your SmartRecruiters Dashboard.

4. Create Check 'Packages' in CheckWorkRights for use in SmartRecruiters

Now that the integration is connected, you'll need to create 'packages' of checks to use in SmartRecruiters.

Visit the Admin > Integrations > SmartRecruiters configuration area in CheckWorkRights, which should now be visible.

From here you can add a package on the top right, including the package name and description to appear in SR, and the CWR checks that will be bundled together as part of this package.

The configuration here is extremely flexible. You can choose to have one package for all necessary checks, several packages for each required check, or a mix of both to deal with specific job roles.

Your Integration is now connected and ready to use.

Step Two: Automating CheckWorkRights Through a Hiring Process

If you'd like to automate the requests to your candidates from CheckWorkRights, you can map the check request against a default or custom hiring process in SmartRecruiters.

  1. To configure your hiring process to include the packages from CheckWorkRights go to Settings > Hiring Process.

2. You can select an existing Hiring Process, or create a new process by selecting Create New Hiring Process.

3. You can create a new hiring process, and include a "package" of checks for your employees to complete. Add a Skills Test, and select Assessments.

4. Tick the boxes of the checks you want to include in this Hiring Process, and select Save.

5. Once complete, turn on the "auto-triggered" switch.

Step Three: Integration Workflow

The second step is to begin the workflow to onboard your candidates.

  1. SmartRecruiters user triggers any number of CheckWorkRights assessment orders against the candidate, by either:

    • Manually triggering the assessment order in their profile under Assessments.

  • Automatically triggering the assessment order by moving the candidate to the pre-configured step in the Hiring Process (shown in step 2 above).

2. The candidate receives an email from CheckWorkRights requesting them to complete the check submission process.

3. Candidate completes the check submission process.

4. Once completed, the results are sent back to SmartRecruiters and displayed against the candidate. This includes the status of their work rights and visa subclass information, if relevant.

Further information about the check result can be found on their profile in CheckWorkRights, by clicking the link next to the result, or the link next to the package.

The employee workflow for the CheckWorkRights and SmartRecruiters integration is now complete.

Potential Customisation (If Applicable)

CheckWorkRights customers can define which checks are included in the packages delivered to SmartRecruiters. Some employers prefer to have one package with all the relevant checks for a specific role type, others might choose to have a single check package for each check and customise them in SmartRecruiters that way.
