Change of Name Evidence - Australian Right to Work

Employees who have changed their name can upload a third document as part of their citizenship declaration to link their birth or citizenship certificate to their photo ID.

Some employees have changed their name through marriage or a legal change of name, and the names on their identity documents differ as a result. The Australian Right to Work check includes an optional step where these employees can upload a supporting document, such as a marriage certificate, to link their two documents together.

Employees who have never changed their name are unaffected. The prompt appears at the end of the document upload flow, on the confirmation screen. Employees can upload evidence if their names differ, or skip it and submit.

Employee/Candidate flow

Step 1 - Confirmation screen with optional prompt

After uploading their main documents, the employee reaches the confirmation screen. At the bottom, they are prompted to provide their change of name evidence.

If their names match, they ignore this and tap Submit.

Step 2 - Guidance and document upload

The employee sees an explanation of what is needed and uploads their change of name evidence document.

Step 3 - Submit

The confirmation screen now shows all three documents: birth or citizenship certificate, photo ID, and change of name evidence. The employee submits as normal.

Changing your mind

If an employee taps Upload Change of Name Evidence by mistake, the Previous button on the explanation screen returns them to the confirmation screen. They can then submit their two main documents.

Verifier flow

The verifier experience is largely unchanged. Where an employee has uploaded change of name evidence, the verifier sees three documents in the review panel instead of two.

Who does this apply to

This applies when all three of the following are true:

  1. The employee is completing the check using a birth certificate or citizenship certificate (not a passport)

  2. The names on their certificate and photo ID differ

  3. The difference is due to a marriage or other legal change of name

Employees completing the check with an Australian passport are not affected.

Acceptable change of name evidence

  • Marriage certificate - name changed as a result of marriage

  • Certificate of Name Change - name changed by legal deed or court order

  • Other change of name evidence - any other document clearly linking the two names

Setup

This feature is part of the Australian Right to Work check for all customers, with no setup required. The optional prompt appears on the birth certificate and citizenship certificate pathways only. When DVS is enabled on your account, it applies to the primary documents only - change of name evidence is always reviewed manually by the verifier.
