CheckWorkRights allows segmentation of candidates or prospects from active employees. This allows larger accounts with users from different teams to focus on the data that is relevant to them. Compliance teams can see an overview of their organisation without seeing employees in the hiring cycle. Recruitment team members will be able to drill down on their list of candidates and their check results, without getting bogged down in the overall compliance account-wide.

Candidates vs. Employees

In CheckWorkRights, a candidate is someone in the recruitment pipeline, distinct from an employee who has officially joined the organisation. The key difference? Candidates are automatically made historical after a specific period of time.

By default, candidates are archived 90 days from the date they are added. However, this timeframe is adjustable to suit your business needs, giving you flexibility over how long candidates remain active in the system.

Adding Candidates

Adding candidates is a straightforward process, whether done manually or via API. This functionality ensures recruitment teams can seamlessly upload candidate information without manual input or duplicated data.

  • API Integration: Recruitment teams can automate candidate addition via API, syncing systems for ease and accuracy.

  • Manual Creation: Alternatively, users can add candidates manually through the platform.

Cross-Functional Workflow

The candidates view serves as a bridge between recruitment and HR, allowing each team to access the specific information they need while keeping candidate and employee data organised.

  • Separate Workloads: The candidates view provides a dedicated list for candidates, helping recruitment teams work efficiently without navigating through employee records.

  • Candidate Status: Instantly view a candidate’s work entitlement status and whether they’re ready for onboarding.

Candidate Status Bar in Employee Profile

Within the employee profile, the candidate status bar provides additional options to manage candidate status.

  • Toggle Historical: Convert a candidate to historical, which removes them from active lists.

  • Activate Candidate: Mark a candidate as active, moving them into the employee category (a payroll ID will need to be added).

  • Extend Candidate Period: Extend a candidate’s active status, resetting their expiry date back to the maximum time allowed.

These tools make it easy for teams to manage candidate and employee data in one central place.
